KS C4D Directors Meeting Minutes – May 18, 2010
Minutes of KS Central 4D Directors Meeting, May 18, 2010; Mattox Arena
Present: Shannon Howland, Carol Tracy, Candye Daughhetee, Sherri Corrigan, Cindy Wall, Michelle Piha, and Cheryl Larimore
1. EARLY ENTRIES: It was discussed whether we should allow contestants to telephone (text or e-mail) early entries or to ask for special consideration. After several gave examples the conclusion we arrived at was that early entries would not be taken on a regular basis. We will consider on a “special circumstance” basis, only.
2. GRIEVANCE DIRECTOR: Mike Wall has been appointed Grievance Director. All suggestions for improvement (aka COMPLAINTS) will be re-directed to Mike.
3. SCHEDULE: There have been 7 shows held so we need to schedule 6 more shows. Tentative dates were chosen and Cindy will check on them.
4. BOOKKEEPING: (Shannon Howland - Bookkeeper) It was decided taht we will publish a total cost of all prizes purchased for year-end awards and make it available to the members in the newsletter following the finals.
5. RULEBOOK: For your convenience and information, here is a link to the Central 4D Handbook: http://www.central4d.com/rulebook. Please be cognizant that we will uphold these rules and reserve the right to implement and change according to KS C4D business needs and as the directors collectively agree.
6. ROLES/RESPONSIBILITIES: The directors roles and responsibilities were discussed, including assigning specific responsibilities to each Director to improve the organization of the Association and better divide the tasks among all Directors. Just to ensure there are no misunderstandings, we still need everyone to help at the jackpots. All Director's run at least one horse at each show and although we try to spread out our runs to accommodate the show needs we simply could still use the help of the membership.

Message from the Grievance Director – Mike Wall
Hello Everyone,
There’s been a lot of talk since the May 1st race in Pratt about the winning time. The gap between the winning time and the next fastest time was large, 0.610 to be exact and some members have suggested that perhaps the timer malfunctioned or that the time was recorded incorrectly. I can assure you that these concerns are shared by your directors and that the timer gave no indication of malfunction that evening. I can also assure you that the director recording and the assistant announcing times when the run was made both checked the accuracy of the recorded time against the timer display.
These valid concerns were brought to the attention of the directors by a few members the night of the race and by a few more members over a period of days after the race. However, we understand that an even larger number of members are still grumbling amongst themselves as well. I’m not going to get into all the other rumors floating around there other than stating if our members have an issue or concern with “anything” related to a C4D sponsored race then as your directors we would like a chance to address it. It goes without saying (but I’ll do it anyway) that we’re better able to do that if the concerns are actually brought to our attention.
So, at our recent board meeting the topic of “what to do about the Pratt race” was heartily discussed (that’s an understatement) by the board of directors long into the evening. Pros and cons of a number of alternatives were weighed up to and including throwing out the results / points and counting the race for participation only. Ultimately the board decided to let the results stand primarily because we have no proof that anything went wrong with the timer or the recorded times.
However, the board would like to make a request of all our members. During the Pratt race we were using the C4D owned timer. It does not store previous times as some of the other arena timers we’ve been able to borrow do. So, depending on the timer in use during a race we have a very short window in which we can go back to double check the timer read-out against the time recorded on the card. If you suspect something is not quite right please ask us at that time to double check while we have the ability to do so. Once we lose the ability to re-check the time the recorded time on the card will stand. Again, depending on the timer in use this could be the next rider or six riders later. We hope at some point to be able to acquire a cordless timer for the organization that will store at least five runs worth of history.
Finally, we want to continue to grow and improve the Kansas C4D for all of us and the health of the sport we all love. There’s no reason we can’t have 100 participants or more at every one of our races. To do that we know we’re going to have to address the concerns of our members. So, if you have a complaint about how we’re running the Kansas C4D or one of our events better please bring it to my attention, preferably at the race so we can discuss it face to face when the issue arises. The same applies to any suggestions you may have about how we can do things better. If we can’t talk in person call me, my cell number is below. I’m out of town a lot so if I don’t answer please leave a message and I’ll get back with you as quick as I can. As a last resort send an email (but include your phone number so I can call you). We’ll work through every one of your concerns, complaints, and suggestions with the care and urgency they deserve, and hopefully in the process improve your C4D experience.
